The executive assistant will contribute to the company by acting as a personal and confidential administrative assistant providing high-level administrative support to the CEO & Chairman of the Board and the executive team by conducting research, preparing reports, handling information requests and performing administrative functions such as preparing correspondence, event planning, receiving visitors, arranging conference calls, preparing travel arrangements, and scheduling meetings.



-   Type reports, memos, letters and other documents
-   Answer phone calls and direct calls to appropriate parties or take messages
-   Attend and keep records for various management meetings, coordinating/follow up on action items
-   Greet visitors and guests
-   Perform general office duties including opening, sorting and distributing incoming correspondence
-   Maintain diary, arrange meetings/appointments, and provide reminders for CEO & Chairman and Executive staff
-   Make travel arrangements and provides detailed itineraries
-   Coordinate scheduling of the training room
-   Coordinate usage of company van which includes preparation for licensing & emissions, etc.
-   Reconcile and submit expense reports for CEO/Chairman
-   Responsible for assembling the pre-read packets and material for quarterly board reviews
-   Ensure board members travel and lodging arrangements are sufficient for onsite meetings.-
-   Assists and tracks flexible card spending for medical expenses for owners  
-   Anticipate executive needs and plan accordingly            

-    Responsible for Service Award Program. Including monthly preparation of awards, letters and scheduling luncheons with CEO/Chairman to celebrate milestone anniversaries for all employees within all subsidiaries. This also includes coordinating luncheons in areas outside of the Salt Lake City/Wasatch Front area. 
-   Coordinating and planning social events, company parties, and private parties
-   Assists with the quarterly employee letter which is communicated to all employees and requires collaborating with all subsidiaries for reporting out on business results
-   Provides Board Meeting administrative support
-   Point of contact for museum and business memorabilia


Work schedule should accommodate CEO’s when possible
Ability to multitask and prioritize daily workload Must have exemplary planning and time management skills
Must be able to work with a variety of people who have a variety of needs while maintaining a positive professional attitude 
Ability to deal with changing priorities and handling multiple tasks simultaneously
Must be diplomatic when dealing with customers and co-workers
Must have excellent computer skills using Microsoft Office, Excel, Word, PowerPoint, and other software
High-level verbal and written communications skills
Must have typing skills of at least 60 wpm
Discretion and confidentiality
Must be flexible and be able to maintain composure in stressful situations
Must be highly organized, detail oriented, and move from one task or priority to another with ease
